Postcoding
New Zealand Post introduced new post codes in July 2006. They have also changed the addressing standards for envelopes.
As these changes were being formulated and introduced to the NZ market, NZ Post kept us informed and consulted with us. Over the last 24 months we have developed software that will accurately replace the old post codes with the new.
Our software can match your existing address details to the PAF file (Postal Address File) to ensure that it is correct and adheres to the new addressing standards.
Although there is a two year transition period (July 2008) until it becomes mandatory to use the new post codes, any company using VolumePost will eventually be required to implement these changes.
APPENDING NEW POST CODES
We will:
- Match your data with the PAF (Postal Address File)
- Append a new Post Code
- Ensure your Address Fields conform to NZ Posts new Address Standards

SOA - Statement of Accuracy Certificates Issuing
SOA Cerfticates for Volumepost discounts
From July 2008 all data used for VolumePost discounts was required to have a SOA (Statement of Accuracy). Data was initially required to be 85% "accurate", rising to 95% progressively in July 2009.
Martins can issue you with a Statement of Accuracy, required to qualify for Volumepost discounts with NZ Post. We can also help get your data up to the standard required by NZ Post - at present this is a match rate of 85% to the PAF (Postal Address File).
Many clients are shocked to see their SOA rate at around 60%, which can be caused by a number of data issues including having old post codes and incorrectly formatted address fields.
Renewal of your SOA will be an annual requirement.
To obtain the best SOA score for your data and enable your business to get full NZ Post bulk mail discounts talk to us today.
Data
Cleaning
Pay for only the cleaned, good
records.
The number of good, useable and
up-to-date records at the end of the
cleaning process is what is of most importance to you. Therefore this
is all we charge for.
Adding Martins Data
Furthermore, once we have
removed (or flagged) duplicate records,
standardized fields, added post codes, split out the names, checked and
cleaned email addresses – we can add Martins data to
ensure
that you
are reaching everyone you need to. Each new Martins record added will
be charged at the same rate as your cleaned data.
What we can clean:
- Casing – will make
all Sentence Case – Mixture of
Upper and Lower Case
(Many databases are stored ALL IN CAPITALS!)
- Cleaning Address fields for
NZ Post compliance
- Adding NZ Post Codes
- Standardising the Phone
& Fax numbers and STD codes
- Splitting out the Contact
Names and Casing, Adding Title
- Removing or Flagging
duplicates
Your customer database is the
life blood of your company - but how
accurate is it?
Is your customer information held in a number of different databases,
is it have a mixture of upper and lower casing, are the email addresses
all correct, are there NZ Post Codes on all the addresses, are the
contact names split out into first name, surname? Can you
actually use the data for mail outs or are there too many messy
records?
An up-to-date and cleaned
database means…
- You avoid sending multiple
copies of same mail piece to the same
person
- Money savings - with full
and correct post coding you can get NZ
Post discounts
- Compliance with the Privacy
Act 1993 – ensuring you data
is current and correct
- You present a professional
image on all of your customer
correspondence
- Get rid of embarrassing duplicate
entries

Deduping,
Merge Purge
Most databases contain duplicates, which can lead to all sorts of problems. Martins have developed fuzzy search algorithms to help keep a single copy of each record. Duplicates can be either removed or flagged.
A merge-purge involves joining two or more databases and keeping only one copy of each record (generally a company, but could also be individual contacts). Preference can be given to newest records or if we are merging data we can select the most detailed record.

or performing a merge-purge

Enhancing
Martins can offer to enhance your in-house database by file matching your records to the Martins database. Your data can then be enhanced by adding any of the following fields - Phone Number, Fax Number, Mobile Number, E-Mail Address, Contact Name, Street Address, Post Code, Staff Numbers, ANZSIC Code, Type of Business or Website. Martins can then add companies you should have to make sure you are reaching your entire audience (selecting by any combination of Staff Size, Industry, Region or List codes).

LATEST NEWS31 May 2010 Selection Fee Rise
Our Selection of $150.00 per order rose to $200.00 per order on the 31st May 2010.
What is a Selection Fee? Unlike many other List Owners, Martins do not have minimum quantities (typically 1000 records plus). As we have very specialised lists, we can often have low numbers so we have a Selection Fee instead. This covers the time to run counts, pull the data and supply (normally via email). $200.00 is still at the lower end of the market for a Selection/Set Up fee.

19 August 2009 Decision Tree for Complying with The Unsolicited Electronic Messages Act 2007
It has been nearly 2 years since this Act became law and we are still finding a high level of misunderstanding & confusion over whether businesses can email or not. We thought it would be helpful to provide a graphical guide to the Act in the form of a Decision Tree that you can follow down using the questions and Yes/No responses in the form of a PDF.
